Transport & Customs Officer

Main Purpose: In accordance with MSF procedures and in collaboration with the Supply department and the Warehouse supervisor, ensure an efficient shipment of goods for the proper running of the mission.

Accountabilities
  • In conjunction with the Supply department and Warehouse supervisor, manages and plans the shipment of goods from Kenya to the projects choosing the best possible transport means.
  • Is responsible for the reception of international freight and its forwarding to Lokichokio and the projects. Is responsible for all customs (import, export and transit) and administrative related issues.
  • Arranges the shipment of goods purchased locally and manages all related administration.
  • Regularly assess the market (companies, prices, services, delays,…), and proposes different third party providers for validation.
  • Coordinate and control the operation of vehicles according to MSF security rules and supervise the fuel consumption.
  • Supervise the driver(s) including ensuring they perform their duties, annual evaluation, coordination of daily work schedule, train if needed.
  • Manages the custom clearance, including preparation and submission of documentations, representing MSF during customs examination, payment of duty and taking delivery of cargo from customs after clearance.
  • Maintain an up to date guideline of custom procedures in Kenya.
  • Entering all transport requests and invoices in the logistics system and preparing reports including the monthly budget estimate for the Finance department and the status of export documents. Ensuring clear and transparent working procedures/database.
  • Facilitation and processing of the exemption tax documents.
  • Liaison with the field regards to export documents and alert them in time about any problems.
  • Receive and process tranport requests from the field and give a timely feedback on the status of the requests.
Requirements

Education
  • Essential Secondary education.
Essential
  • East Africa Customs Freight Forwarders Practictising License (EACFFP)
  • Trained in Simba Tradex and ORBUS/Kentrade
Experience
  • At least 2 to 3 years experience in the logistics department

Data Processing Officer

Main Purpose:
 Carry out data entry activities into Logistics system, registering all orders, deliveries and data concerning stocks according to established procedures, and produce the appropriate, updated documents for the supply team in order to support decision making processes.

Accountabilities
  • Perform data entry of all ordering information into Logistics 7 program and create appropriate documents for ordering and receptions, ensuring that all data entered has been authorized and that appropriate documentation has been received and ensuring that all data entry processes occur in a timely and efficient manner.
  • Ensures all data collected and entered to databases is consistently accurate and complete.
  • Perform the workflows, outgoing and ingoing, of all the related logistics documents.
  • Verify correct authorization of orders and receptions in Logistics 7.
  • Report any anomalies in the database to the supervisor immediately
  • Files documents according to MSF standards (Log Admin Kit).
  • Ensures that no unauthorized people have access to the database
  • Discusses progress with the supervisor on a daily basis, reporting to the rest of the supply team..
  • Perform routine checks of the database to ensure consistency.
  • Assists the supervisor to identify any items at risk of rupturing or expiring – referring to Logistics 7 database.
Reporting duties:
  • Identify, in close relation with the supervisor and the Supplier and according to Logistic 7 database, potential stock risks (expiring, security level stock) .
  • Produce Logistics 7 reports on stock level, average expiring terms and availability.
  • Compare with Supplier logical stock inventory with real stock levels on a monthly basis and justify any gap.
  • Enter data and create worksheets to assist in the International Orders
  • Provide weekly and monthly format sheets for consumption and stock reports of all locations.
  • Report immediately to the supervisor of any discrepancy found in data system.
  • Report the pipeline and the ordered material received or outstanding items.
Requirements

Education
  • Essential, Secondary education; commerce related studies desirable.
Experience
  • Minimum 2 work experience in data entry/analysis.
