Administration Assistant Job in Kenya

MSF Switzerland (MSFCH) is a humanitarian medical organization providing emergency medical aid to populations in need.

In collaboration with the Ministry of Health, MSFCH implements ‘Sexual and Reproductive Healthcare’ services at the Mrima health facility in Likoni, sub-county of Mombasa. 

The objective of the activities is to increase access to quality maternal & neonatal health care services to contribute in improving maternal and newborn outcomes.
 

Job Title: Administration Assistant
 
Location: Likoni, Mombasa County
 

Start date: 4th of January 2016
 
Length of contract: 3 months probationary contract with possibility of extension
 
The selected candidate will be reporting to the Project Finance & HR Manager and he/she will provide administrative and operational support to the project.
 
Main Tasks include, but not limited to:
  • Execute administrative and legal related tasks, under supervision of the Project Finance & HR Manager, perform payroll calculations and update personal files in order to ensure accuracy, compliance and on time payments.
  • Prepare employment contracts in conformity with legal requirements including specific amendments when necessary in order to ensure local labour and fiscal law compliance.
  • Enter data into the HR database and personal files and keep them up-to-date in order to facilitate HR processes management.
  • Draw up monthly pay slips for all staff, editing and updating the necessary data, in order to ensure the punctuality and accuracy of staff payroll.
  • Support the Project Finance & HR Manager in the recruitment process for new staff.
  • Draw up the final pay slip and employment certificate at the end of a contract in order to meet legal requirements.
  • Follow up all expiring rental contract dates and inform the Project Finance & HR Manager in order to leave enough time to arrange a renewal or look for some other alternative.
  • Make all administrative information available to the staff (posting, meetings, etc.).
  • Weekly & monthly reporting to the supervisor.
Requirements:
  • Essential diploma or professional qualification in business administration, focus on HR is an advantage.
  • At least 2 years experience in similar positions. Previous MSF experience and experience in Human Resources is an added advantage.
  • Strong interpersonal skills, strong initiative, able to handle complex assignments with proactive attitude
  • Organized, autonomous, attentive to details and committed to excellence
  • Punctual, reliable and flexible to work long hours when required
  • Computer literacy with practical use of MS-Office applications essential
