Secretary Manager
Background: Gem horticulture Farmers cooperative
society support their members with farm inputs, trainings, storage and
marketing of members produce, the cooperative is composed of various
horticultural farmers who are producing tomatoes, kales, onions, bananas, among
other produce, and has an average annual turnover of about ksh 0.5m with a
membership of about 200.
General: The Secretary Manager will be based in Yala at the
Market Service Centre and will be responsible to the Gem Horticulture Farmers
Cooperative Society (GHFCS Management Committee, (herein referred to as “the
society”) reporting directly to the Chairperson.
Main Duties
- To initiate, plan and executes horticultural
sales and marketing activities as per the society rules and procedures and
in constant consultation with the Management Committee.
- To survey and assess the markets for horticultural
produce and advice the members on optimal level of production and or seek
for new markets for the disposal of excess produce.
- Together with the management committee develop
and implement policies and operational manual to guide the societies
business.
- To improve and strengthen the internal control
system through best practices in planning, budget and sales control,
regular banking of farmer proceeds and timely payments of the same;
- To ensure that the day-to-day operations of
the society run effectively and efficiently
- To provide relevant information to
individuals, members and groups and to ensure that good standards are
maintained in all communications with the public and the stakeholders
- To maintain accurate manual and
computerized financial records
- To create, maintain and update the membership
database in regard to; shares and product deliveries and payments.
- To promote horticultural products value
addition that are based on sound business plan;
- To attend Board meetings and take minutes as
stipulated by the society rules and regulations.
- Provide updates of current technical
information to the society and its members.
- Be responsible for the security of society
funds, assets, society books of accounts, shares register, certificates,
society’s seal, cheque books , members produce and other accountable
documents;
- To operationalize or keep operational sales of
members’ produce / products, promote horticultural credit scheme; and
other; outreach programmes.
- To keep operational sales of members produce,

- To ensure primary documentation of daily
transactions is done and well preserved
- To ensure day to day operations of the society
run effectively and efficiently.
- To provide relevant information to
individuals, members and groups and to ensure that good standards are

- To maintain accurate manual and computerized
financial records
- To create, maintain and update the membership
database in regard to; shares and product deliveries and payments.
- To participate in assessment, appraisal and
process loan document for new loan applicants
- Any other duty as maybe assigned
Qualifications
- Three years’ experience in the relevant field
- Degree, or Diploma, in Cooperative
Management or Marketing and Sales or Supplies and
computer literate
- Excellent communication skills and strong
customer relations
- Excellent organizational skills and motivated
to work on own initiative
- A constructive, positive, progressive
attitude, flexible and a good team player
- Reliable, honest with high level of integrity.
