Position Title: Programme Assistant ASRH
Grade: Service contract SB-3
Location: Nairobi
Organizational Unit: United Nations Population Fund (UNFPA)
Reporting to: Adolescent Youth Specialist
Background: Under the guidance of the Adolescent / Youth
Sexual Reproductive Health Specialist, the Programme Assistant ensures the
effective administrative / clerical and logistical support in the Adolescent /
Youth Reproductive Health (AYSRH) outcome area within the Programme unit of the
Country Office. S/he works closely with programme, finance and project staff.
The Programme Assistant works with
and provides support programme staff in AYSRH outcome area in the development
and implementation of effective programmes consistent with UNFPA rules and
regulations.
S/he contributes to research,
financial management, and programme implementation including providing
necessary operational, administrative and programmatic support.
The Programme Assistant works in
close collaboration with the operations, programme and projects’ staff in the
Country Office, Regional Office and UNFPA as required for resolving complex
finance-related issues and exchange of information.
Duties and Responsibilities:
- Liaise with Programme Officers for
Reproductive Health, to ensure that narrative and financial reports from
partner agencies are completed and submitted on a timely basis
- Provide programme and administrative support
in the preparation of programme work plans, budgets, and proposals on
programme implementation arrangements.
- Identify sources, and gather and compile data
and information for the preparation of documents, guidelines, speeches and
position papers.
- Support the Programme Team in the
implementation of the control mechanisms for implementing partners’
projects through monitoring of budget preparation and modifications.
- Support the Programme Team in the financial
management of Programmes.
- Provide necessary information for the audit of
programmes/projects and support implementation of audit recommendations.
- Support the Programme team in the tracking and
reporting on mobilized resources.
- Take minutes in the Programme/staff meetings
and distribute them appropriately.
- Assist in preparatory arrangements for
seminars/workshops and meetings.
- Perform any other related duties as assigned.
- Liaise with the M&E programme office to
ensure that data from the field is collated and synthesized and filed.
- Attend implementing partners and development
partners’ meeting/workshops and prepare reports to the office.
- Organize and maintain the filing system for
programmes with correspondence properly in respective files and
up-to-date.
- Perform any other duties that may be assigned
by the UNFPA Representative, the Deputy Representative and Programme
Officers.

Qualifications
- University Degree in Social Sciences and/or
other related field
- 3 – 5 years of experience in Adolescent/youth
Reproductive Health and/or Gender, preferably with international agencies
or the United Nations.
- A good command of the English language, both
written and spoken, good drafting skills and preferably a working
knowledge of a second UN language; knowledge of Kiswahili.
- Proficiency in current office software
applications.
