Job Advert: Human Resource Assistant
Reporting to the Human Resource Manager the Human Resource Assistant role will be administrative support to day-to-day operations of human resources ensuring the efficient delivery of salary payments, recruitment processes, disciplinary, industrial relation health and safety and the accuracy of employee data records.

- Ensure staff job reviews and updating of the
job descriptions are up-to-date to the company expectations.
- Ensure records for all employees on probation
are in place so that their files are reviewed as they fall due.
- Handle all staff related issues as they may
arise.
- Enrich relationship between top management and
all employees.
- Ensure the companies policies are complaint
with labor force.
- Continuous assessment of workforce engaged
against output per department and advising management on the same.
- Reviewing files of permanent employees on
monthly basis and review casual worker record on daily
- Ensuring high standards of office cleanliness,
sanitary hygiene, health and safety and security in the company
- Supervising administration staff and service
providers for cleaning, telephone operation, messenger and other services
- Ensuring timely bill settlement and overseeing
the use of utility bills; telephones, water, and electricity.
- Maintaining accurate information on personnel
file. Ensure high integrity of personnel data records
- Reporting any accident or incidence on time;
Ensure there are report from the supervisor, eye witness and the victim
and the police abstract and the DOHSS report.
- Fidelity issues: Ensure any fidelity issue is
reported to the management in time and the matter reported to the police
for the police abstract. All evidence must be document within 48 hours.
- Overseeing the use of telephones, water, and
electricity and ensuring timely bill settlement of the same
- Handling employee complaints and grievances
and addressing them with the management.
- Updating management on any disciplinary
issues, handling the disciplinary process and documenting the evidence and
any warning letters.
Payroll and Data Management
- Data preparation for the payroll data; Sales
Debits and any other deduction
- Statutory registration and on-time remittance
compliance; PAYE, NSSF, NHIF, HELB, DIT/ NITA Revy,
- Updated attendance register on daily basis at
8.30am and submit to the HRM
- Update any deduction and manage deduction list
for review by the HRM.
- Update and harmonies leave schedules
departmentally on weekly.
- Prepare casuals payroll form on weekly basis
and weekly commissions for the turnmen and drivers and ensure timely
payment.
- Any other duty relating to HR management as
may be assigned from time to time by the General Manager
Skills and Specifications
- Effective problem-solving skills.
- Knowledge of recruitment process.
- Competent to produce accurate and
well-presented reports.
- Able to present information in forms, tables,
and spreadsheets.
- Should be an effectual communicator verbally
as well as through writing skills.
- Should be committed to diversity and equality
culture.
- Ability to operate under immense pressure.
- Proficiency in Microsoft Excel-Spread sheet,
Word, and Power point.
- Proficient with basic budget management and
calculations.
- Able to deliver effective results, meet tight
deadlines and targets.
Education and Qualifications
- Post graduate diploma in Human Resource
Management.
- Degree in Human Resource Management or
Business Management.
