Job Description:
 Our company is seeking a highly motivated, experienced professional to play a leading role as our Executive Assistant.

You should have a strong administration background with complementary communication skills. 

You will interact regularly with our Kenya Office team and achieve specific performance targets. 

The primary responsibilities of the role include office administration, client management, and customer relations.

Primary Responsibilities:

Management and Operations Support:
  • Support Operations team to collect, record, and track weekly performance metrics and manage order fulfilment
  • Organize and coordinate internal and external meetings and oversee preparation/follow-up
  • Manage staff travel bookings, transport, and other logistics
  • Respond to and track general partner and customer inquiries via office phone, email, and/or SMS platform in a timely manner; escalate client communication once a lead becomes high priority.
  • Respond to prospective and current client’s emails with information requested materials & information.
  • Update client leads pipeline with progress and priority status
  • Plan company quarterly retreats and off-site meetings
General Administration:
  • Maintain office space and coordinate office maintenance
  • Manage office supplies and maintain important company documents
  • Send and collect documents, packages, and material
  • Collect cheque books, receive bills from suppliers, and file invoices
  • Keep track of office keys and company property
  • Help with scanning & printing documents in the office
Ideal Candidate Characteristics:
  • 1-3 years in administration and/or operations
  • Experience with data and reporting management
  • Experience with cloud-based, IT platforms preferred
  • Excellent written and verbal communication skills
  • Strong team player who can take initiative and work independently
  • Energetic, enthusiastic, and passionate
  • Experience managing multiple, concurrent projects. 
  • A proven ability to direct (and sometimes redirect) projects to deliver precise, high-quality, and on-time deliverables. 
  • Experience managing workflows across a team
  • Excellent attention to detail and ability to prioritize, synthesize information, and follow through to see initiatives to completion
  • Driven to succeed in a start-up environment, including working long hours to propel our mission forward and to change millions of lives
  • Experience in the private sector with an international team a plus
