Project Coordinator / Administrator (Maternity Cover)

Background:
 The Somalia NGO Consortium is a voluntary mechanism of NGOs bringing together local and international NGOs working in Somalia.

The Somalia NGO Consortium promotes information sharing, cooperation and joint advocacy initiatives amongst local and international NGOs working in Somalia and Somaliland. Given the highly complex and insecure environment and the large numbers of agencies working in Somalia, a coordinated voice is critical to successfully work in Somalia.

Keys Responsibilities:

Project Coordination

The project coordinator will undertake activities and tasks in project development, reporting, coordination and donor liaison as part of the Consortium’s efforts to implement and report on its portfolio.



  • Preparation of donor reports: coordinate submissions from relevant headquarter and field staff to meet reporting deadlines, ensuring narrative reports meet donor requirements and are submitted in a timely fashion
  • Prepare and coordinate all necessary follow-up internally and externally for relevant SNC staff and members.
  • Maintain continuity of work operations by documenting and communicating needed actions to management.
  • Accomplishes department and organization mission by completing related results as needed.
Organizational support / Administration / Office systems: The project coordinator is responsible for strategic day to day management of the consortium secretariat operations / daily coordination and facilitation of office support, including:  
  • Procurement: Responsible for managing and securing SNC secretariat supplies; assist regional teams with procurement of office supplies; Give guidance to staff on travel arrangements and expense tracking, program and stipend supplies, etc. in accordance with Host Agency’s policies and procedures. 
  • Files and database management: Establish and maintain soft and hard copy filing (the latter as necessary)
  • Provide support for IT Consultants: Guide and assist IT consultants/staff as requested; help monitor staff needs and assist with problem solving; compile and maintain consortium user accounts and passwords 
  • Provide support to and coordinate with other finance and budget staff/team: monitor SNC credit card payments, purchases and documentation; reconcile SNC bank statements; process advance requests and purchase requisitions; provide support for Grant Management by monitoring expenditures and compare with approved budget as necessary; co-ordinate with finance staff on related issues during preparation of budget reports and other duties as may be required. 
  • Provide an accessible first point of contact for general inquiries: respond to members’ and stakeholders’ enquiries and delegate incoming queries accordingly.
Meetings:
  • Responsible for organizational functions and general meeting support : In conjunction with SNC secretariat staff, support in the preparation and scheduling of meetings and events, preparing relevant documents, coordinating briefing inputs, arranging follow up calls, maintaining office space schedules, developing and distributing agendas, minutes and participation lists.
  • Convenes and participates in working groups, meetings, conferences, consultations with other agencies
  • Follow up on action points as required
Information Management:
  • Information dissemination and management - act as a contact for information sharing with and among members
  • Compile and maintain mailing lists
  • Newsletter compilation and dissemination (weekly and thematic)
  • Stay abreast of developments in the media and information sector through research, site-visits, and attendance at conferences and meetings;
  • Prepares or contributes to the preparation of various written reports, documents, information products and communications (e.g. timeline reports, bi-annual reports, actors directory etc.)
  • Website: Responsible for website management and updating
Membership registration and renewals:
  • Manage the consortium membership registration and renewal process: review of registration and renewal forms, invoicing, confirmation of payments and receipting, activation of user accounts, addition to mailing lists.
  • Establish and maintain contacts with all member organisations

Qualifications
  • Bachelor’s degree or equivalent work experience
  • Proactive, helpful, can-do attitude
  • Flexibility to adjust to dynamic work environment
  • 2 years minimum administrative experience
  • Good writing skills
  • Neat, organized, able to work independently and interdependently, welcoming to the public
  • Computer literate including spreadsheets, word processing, e-mail, web
