Office
Administration and Marketing Assistant

Role
Overview: The
holder of this position will oversee the day to day office operations,
coordinate the training activities, oversee the virtual office operations and
market the company’s products.
Office
Assistant Duties
- Ensuring
smooth day to day office operations and activities across the board;
- Devising
and maintaining office systems, including data management and filing
systems;
- Screening
phone calls, enquiries and requests, and handling them as appropriate;
- Meeting
and greeting visitors and ensuring their needs are attended to;
- Organizing
and maintaining the directors diary, booking appointments,
confirming schedules;
- Dealing
with incoming email, post and parcels and other correspondence as well as
handling the outgoing correspondence;
- Organizing
meetings, making logistical arrangements and preparing minutes for follow
up;
- Carrying
out background research on various issues and presenting findings to the
director;
- Producing
documents, briefing papers, reports and presentations on the various
company activities;
- Organizing
and attending to meetings and ensuring the director is well briefed in
preparation for meetings;
- Liaising
with clients, suppliers and other staff for smooth operations of the
office;
- Organize
trainings (in house-hotel based) and ensure smooth and seamless
coordination of the same:
- Booking
transport and accommodation for director and other consultants during open
training sessions in and out of town;
- Implementing
and maintaining procedures/administrative systems for orderly work flow;
- Preparing
training materials, presentations and training reports.
- Supervising
the cleaner, tea girl and messenger
Marketing Duties
- Coordinating
preparation of marketing brochures, e-shots and flyers, online and
other related marketing merchandise;
- Management
of online presence - running of website, blog, Facebook, twitter and
LinkedIn accounts;
- Arranging
for interviews and other media events on Radio and Television for the
Director;
- Organizing
and hosting marketing presentations and customer visits;
- Assisting
with promotional activities at events, exhibitions and trade fairs;
- Visiting
customers and external agencies involved in marketing support;
- Carrying
out basic market research to identify and develop new product lines in
training;

Person Specifications
- Minimum
of a Certificate or Diploma in Business Administration / Marketing /
Public Relations / Secretarial / Sales and Marketing;

experience in E- Marketing

- Ability
to handle office related pressure with composure;
- Marketing,
Sales and Administration experience of at least 1 year in a
moderately busy office/organization;
- Outgoing,
pleasant and easy to get along with person aged above 25
years;
- Proficiency
in basic computer software applications MS word, MS Excel, MS PowerPoint;
- Ability
to handle and prioritize multiple tasks without losing focus;
- Self-driven
and able to work independently with minimum supervision;
- Dynamic,
innovative and creative person who is solution oriented;
