Applications are invited for the
position of an Administrative Assistant
Overall Job Purpose: Provide essential administrative support to all
staff as well as providing customer service to farmers
Key Duties and Responsibilities
Office Reception and Farmers Desk
- Professionally handle all incoming and
outgoing calls and redirect them to the necessary offices
- Meet and greet all guests to the office and
assist them as necessary.
- Respond to routine request for information by
farmers and other growers.
- Communicate to farmers and societies on the
status of their coffee deliveries and payment
- Ensure timely and organized mode of dispatch
of any incoming and outgoing documents with proper records for traceability
and follow up.
- Be responsible for collection and relaying of
strategic data on coffee marketing to the marketing officers.
Administration
- Ensure all company files are well maintained
at all times.
- Ensure that the company licenses for SMS
renewed when they fall due.
- Be responsible for maintenance and servicing
of all office equipment.
- Receive and open if necessary and sort office
mail and distribute to the relevant offices.
- Make all travel bookings including hotel and
transfer for staff travelling in and out of the country when the need
arises.
- Make bookings for hotels and transfers for all
incoming company guests.
- Make all necessary bookings for company
conferences and official functions as requested by management from time to
time.
- Manage the company field and marketing staff
and visitor schedules.
- Work with approved courier service providers
to ensure official mail is delivered on time.
Requirements
- A Minimum of a diploma in Business
Administration with a thorough knowledge and understanding of front office
management and customer care.
- At least 2 years’ experience in office
management. Previous work experience in coffee industry with
responsibilities related to handling farmers and will be an added
advantage
- Must be Computer Literate preferably with
experience in use of an ERP
- Ability to manage a busy front office desk
with no supervision.
- Experience with HR management will be an added
advantage • Strong writing, verbal and reporting skills
- Good organizational and planning skills
