Position: Hospital Administrator

Location: Matuu town, Yatta District, Machakos County
 
Services: Outpatient (Consultation, Pharmacy, Family Planning, MCH, Laboratory), Inpatient (General Inpatient, Minor surgery,  Maternity), Minor Theatre and Morgue.

Scope: This position carries responsibility for administration of all non-direct patient care services and departments in the organization. 

The office bearer will be required to co-ordinate personnel, budget, policy, program and other administration matters, under the general direction of the Board of Directors.
Specific Responsibilities
  • Promote the mission, vision, and values of the organization.
  • Responsible for planning, organizing, directing and controlling all resource departments and services of the center, including personnel, financial, facilities, equipment and supplies.
  • Administers the hospital’s total budget and actively participates in planning with all senior management staff and departmental heads.
  • Responsible for developing and directing the implementation of policies and programs in all departments and align the same to the service process.
  • Act as chief advisor to the Board of Directors and the clinical and medical senior management staff in development and implementation of the hospital’s programs, policies and procedures.
  • Promote and maintain effective public relations with governmental and community agencies and individuals.
Responsible for:
  • Handling staff disciplinary matters and conflict resolution
  • Patient complaint handling
  • Manpower and training related issues
  • Upkeep of infrastructure, equipment, legal documents
  • Organization of mock drills (fire code, emergency preparedness and management, etc.)
  • Coordinating the internal quality audit issues
  • Supervising procurement of drugs, consumables and equipment and stationery
  • Hospital management information systems
  • Preparation of various reports
  • Upkeep of sanitation of hospital and landscaping
  • Commercial activities (contracting out of sanitation, security and other contracts)
  • Maintenance of provision of round the clock electricity, water supply and cleanliness in the hospital premises
  • Preparation of duty rosters and provision of alternative arrangements of staff in case of leaves of staff or unforeseen emergency situations – in collaboration with departmental heads
  • Reporting to the Board of Directors about surplus/ shortage of staff
Perform other reasonable duties as assigned by the Board of Directors or as personally deemed necessary in the interest of patient care or general business sustainability.

Qualifications:
  • A minimum of a diploma in a business related field from a recognized academic institution.
  • Understand the use of Hospital Information Management Systems (HIMS) or Enterprise Resource Planning (ERP) systems for a health care setup.
  • Basic understanding of finance and accounting methods, procurement procedures, general human resource policies, health care related government policies, and general hospital related operations and procedures.
  • At least 2 years working experience in a hospital setup, with a minimum of one year as a hospital administrator or a similar managerial capacity.
