Vacancy:  Secretary - Law Firm

Ours is a new established practice to provide legal services and human rights consultancy. 

We are looking to add to our family a self-motivated, enthusiastic and fast learning team player to provide secretarial and administrative support to the growing team. 

The overall purpose of this position is to

  • Provide general administrative duties including but not limited to scheduling meetings, responding to routine correspondence; organizing responses in order of priority; update of filing systems, monitoring and ensuring availability of stationery and other working tools.
  • Performing all general office duties required for a legal office including transcribing and formatting legal documents and business correspondence, filing and law documents maintenance and general secretarial duties.
Duties and Responsibilities 
  • Attending to clients/visitors;
  • Assisting with drafting of correspondence to clients;
  • Handling telephone calls and appointments;
  • Managing records and data associated with each file;
  • Organizing office and boardroom meetings;
  • Ensuring security of office records, equipment and documents;
  • Running petty errands including but not limited to cleaning, deliveries, payments, handling petty cash etc;
  • Assisting with tasks such as printing, making copies, proof reading, compiling reports and data, expense reimbursement reports, etc.
  • Managing office materials, stationary and supplies;
  • Maintaining contact lists
  • Ensuring security of office records, documents and equipment      
  • Any other duties that may be assigned from time to time
Education, Professional Qualifications, Skill & Competencies:
  • Diploma in secretarial studies
  • Experience with the full range of Microsoft Office package is essential
  • Experience in maintaining supplies inventory and using an electronic filing data     base   
  • Possess excellent interpersonal and organizational skills
  • Possess excellent communication skills (English and Kiswahili)
  • Ability to multi-task
  • Professional personal appearance and conduct
  • Informed on general current affairs
  • Familiarity with basic legal terminology & documents will provide an added advantage
