The Position: The role will be reporting to the Head of Operations and Finance and be a critical contributor to successful management of ALN headquarters operations.
 
 
This position will be part of a small and dynamic performance orientated team, based in Nairobi. The role will involve constant liaison and communication with member firms across 12 African countries.

We are looking for an experienced professional to ensure the successful running of ALN headquarters operations which include finance, procurement, staff related affairs and communication with members.
 
The Ideal candidate possesses superior skills in quickly adapting to a very agile and flexible environment, possess excellent communication and stakeholder management skills and is a team player.
 
The successful candidate will work directly with strategic decision makers and have significant opportunities to directly influence the future way of doing business. 

Although this is a fixed term contract this role offers very good experience that will be very useful in any future roles pursued.

Description of Duties

Responsibilities include but are not limited to the following:

1. Business Operations
  • Assist the Head of Operations and Finance in execution of  the ALN Strategy and ensure execution as per the guidelines laid out by the Board and the CEO.
  • Coordinate with the Head of  Operations  on staff recruitment, selection process, and induction process
  • In collaboration with the Head of Operations and Finance, develop a staff appraisal policy and follow up on implementation
  • Oversee all IT-related purchasing and budget usage. Work with service providers to minimize latency time and ensure that ALN has the most cost IT effective equipment and solution
  • Assist with communication to members as needed for the Operations to request information when required to.
2. Financial and administration
  • Support the Head of Operations and Finance in ensuring compliance with the budget
  • Ensuring timely settlement of all vendors dues
  • Oversee petty cash
  • Provide a summary/report of disbursements and expenses approved on a fortnightly basis for ALN Kenya Account
3. Procurement
  • Direct all procurement activity for goods and services
  • Conduct regular review of supplier services to ensure  that there is continuous improvement on efficiency
  • Regularly review vendors’ contracts to ensure that ALN is getting the most cost effective rates
4. Board meetings and reports
  • Assist the Head of Operations and Finance in preparing the necessary material for presentation to the Board and Members’.
  • Assist the Head of Operations and Finance in preparation for the board and members meetings by ensuring that invites are sent out on time, agenda prepared and circulated in advance and the report completed at least 2 weeks in advance of the meeting.
5. Referral Management
  • Oversee the referrals both in and outside of ALN by introducing member firms to clients  and Best friends
  • Ensure we have up to date information on referrals from all member firms well documented in the form a spreadsheet as well as on the intranet in coordination with the BD team.
Required Background and Experience
  • Minimum 3 years relevant business experience
  • Degree in B. Com, or similar relevant background preferably with a strong financial background
  • CPA qualifications level 2 or above
  • Efficient user capabilities in Excel, Power Point and MS Word as a minimum
  • Solid detail focus and follow-up drive, while also driving the bigger picture
  • High sense of urgency and drive
  • High attention to detail
  • Good business understanding
  • Excellent problem-solving and communication skills
  • Result oriented with focus on quality
  • Strong team player
