Personal Assistant Job in Kenya

We are looking to hire a qualified Personal Assistant for the company’s MD.

The successful candidate will need to demonstrate a good level of initiative, independent decision-making and organizational ability, as well as the ability to communicate effectively at all levels. 
 
A high degree of computer literacy, an eye for detail and ability to meet stringent deadlines is vital for this position.

The candidate will will be required to work independently yet collaboratively and be able to respond flexibly to the demands of this post.
Job Description

The candidate will be responsible for:
  • Ensuring the smooth running of the director’s office at all times
  • Producing documents, briefing papers, presentations, project plans and providing support for ad hoc projects at the Director’s discretion.
  • Diary management.
  • Delegated errands, meetings, projects and/or tasks.
  • Working with the Director’s authority at all times.
  • Pro-actively arranging travel and accommodation.
  • Meeting and greeting visitors of all levels of seniority.
  • Acting as a point of escalation and guarding the Director’s time.
  • Handle highly confidential information with the utmost discretion.
Essential Skills & Experience

The ideal candidate shall:
  • Have polished communication skills including an excellent standard of written & spoken English. 
  • Proficiency in other languages will be an added advantage.
  • Have demonstrable financial management, project management, research and reporting skills.
  • Advanced computer and word processing skills.
  • Be educated to at least a degree level with demonstrable ability to manage the office of an Executive Director.
  • Be confident in their own judgment & decision making when faced with ambiguity.
  • Have initiative to take on tasks without direction for the good of the director.
  • Be a fast learner, hard worker and dedicated to the role.
  • Be organized and meticulous in their work.
  • Have a flexible attitude to working hours and be flexible in travelling.
  • Have the ability to work well under pressure.
  • Have all other vital personal traits for the position including discipline, honesty, work ethic, integrity and initiative.
  • All other relevant skills will be an added advantage.
