Finance and Administration General Manager Job in Nairobi Kenya

Our client, Eastern Produce Kenya Limited/Kakuzi Limited is a Camellia Plc group company based in Kenya. Camellia Plc is an international group, listed on the London Stock Exchange and employs over 73,000 people worldwide.

Our client engages in the cultivation, rearing and manufacture of both agricultural and animal produce for local and export market, and requires no introduction.

Our client is currently expanding its agricultural activities in Kenya. In order to continue with this expansion, our client seeks to hire a 
General Manager - Finance and Administration to be based in the City of Nairobi.

Job Summary:
Financial: To plan, manage and co-ordinate the implementation and maintenance of effective financial accounting function for the Kenya Group (EPK Ltd and Kakuzi Ltd) and to ensure the availability of accurate financial reports regarding income, expenditure, budgets and forecasts required to ensure sound financial decisions.

Administrative: Ensure that secure Administrative systems are always in operation.

Key Duties and Responsibilities;

Planning / Management:
  • Plan, manage and co-ordinate the activities of the Kenya Group's Financial Departments (EPK Ltd and Kakuzi Ltd).
  • Plan and co-ordinate long and short term financial strategies in liaison with Group Finance Director(GFD) (and Group Managing Director)
  • Monitor, assess and analyze both Companies cash-flow position on a regular basis.
  • Plan and implement cost effective procedures for the Group including update/review of Blue book procedures.
Performance Standards
  • Effective planning to ensure the productive utilization of staff to ensure that set goals/objectives are attained
  • Accurate forecasts, budgeting to ensure correct future viability and increased profitability of Company.
  • Propose and recommend actions to be taken to ensure that planned cash-flow results are attained.
  • Co-ordinate financial procedures/policies to ensure availability of accurate financial reports to assist with general management and decision making.
Financial Control:
  • Manage and co-ordinate the Kenya Group's financial accounting function.
  • Provide input for the effective control of corporate division's budgeted operational expenditure.
  • Monitor all Capital Expenditure.
  • Manage and control the Corporate division's financial funding, Company loans, interest rates and rebates (in liaison with GFD)
  • Monitor and control operations' and group's cash situations (in liaison with GFD)
  • Implement and co-ordinate effective control of corporate division's assets.
  • Finalize monthly and quarterly financial progress reports to Camellia HQ in UK, Regional Office and Nairobi Stock Exchange.
  • Manage and control the corporate division's payments in terms of Company's creditor policy.
  • Manage and control all debtors' payments.
Performance Standards
  • Ensure accurate recording of all income/expenditure on all operations.
  • Ensure finalization of monthly financial reports (Management and Camellia packs).
  • Investigate over expenditure (thru month variance report meetings) and liaise with operational General Managers’ to rectify/control expenses as per approved budgets.
  • Endorse and control Capex as per approved budgets.
  • Monitor all financial transactions, effect necessary changes to ensure most economical rates/ interests.
  • Ensure timeous transfer and management of funds and maintain cost effective banking/funding procedures.
  • Accurate recording of depreciation, book value, disposals and capitalization of all assets.
  • Accurate, timeous finalization of financial reports, board and variance reports with appropriate commentary where applicable.
  • Timeous payment of creditors and authorization of payments.
  • Ensure payments within stipulated credit terms.
Financial Accounting:
  • Prepare profit/loss forecasts for Kakuzi and EPK Ltd.
  • Consolidate Group's Board Reports.
  • Undertake various ad — hoc financial related investigations or negotiations.
  • Structure and explore best possible legal avenues in terms of TAX relief. (in Liaison with GFD)
Performance Standards
  • Accurate monthly financial reports.
  • Required format-timeous submission to exec and non-exec Board Members of EPK and Kakuzi boards.
  • Investigate, prepare and finalize recommendations in terms of various financial viability/cost and profitability studies.
  • Liaise with external auditors/experts to ensure Company claim maximum relief in terms of Tax Act.
Information Technology:
  • Ensuring most effective and efficient use of IT methods (in liaison with GFD)
Performance Standards
  • Implement new systems and enhance existing systems
Administration:
  • Planning and execution of annual operational Budgeting exercise for EPK (including its managed clients) and Kakuzi Ltd.
  • Check and authorize debtors/credit applications.
  • Attend the various monthly management, and Quarterly Board meetings, plus others, as required.
  • Company Secretarial duties - Compile and distribute Board Meeting notices agenda's and papers as per relevant timings stipulations. Keep minute books and attendance registers up to date.
  • Authorize and sign various internal documents.
  • Complete Assessment Action Plans and Performance Appraisal documents.
  • Complete annual financial statements.
  • Complete annual tax returns.
  • Control Company's insurance portfolios.
  • Control Group's (Kenya) administrative activities.
Performance Standards
  • Set parameters, advice management to ensure that accurate budgets are compiled. Produce final budget packs.
  • Sound financial basis / terms.
  • Advise management on all finance related aspects to enhance sound management.
  • Capture accurate minutes of Board meetings (when attended) and ensure board meeting administration carried out according to requirements.
  • Monitor sub-ordinates, productive and development.
  • Statutory and Stock Exchange.
  • Administration of Local Company pensions and Company Secretarial duties as above.
Liaison:
  • Liaise with bankers, government departments, suppliers/clients regarding all finance/services related aspects (in liaison with GFD).
Performance Standards
  • Maintain sound relations, attend effectively and timeously to all matters/correspondence to promote and further Company's image.
Qualifications
  • Be a holder of a first degree in a business related course from a recognized university
  • Masters degree will be an added advantage
  • Be a member of ICPAK /ACCA/ or Equivalent
