Receptionist Job Vacancy in Kenya

Our client would like to fill the position of a Receptionist who will report to the Group Administration Manager.

Job Purpose / Summary: The primary responsibility of this position is to man the front office and provide clerical and administrative support to the management.

Duties and Responsibilities

  • Manning the Reception Desk with a high degree of poise and professionalism
  • Welcome on-site visitors, determine nature of business and announce visitors to appropriate personnel. 
  • Answer incoming telephone calls, determine purpose of the call and forward the same to appropriate personnel or department.
  • Assist each person who approaches the reception desk with a query.
  • Maintain and coordinating transport schedule as advised by the office transport booking system.
  • Submit a detailed transport report on a daily basis.
  • Compile and submit a departmental cab service report on a weekly basis.
  • Coordinate, monitor and report company drivers’ daily work schedule.
  • Record and report daily office transport schedule to your line manager.
  • Coordinating distribution of suppliers’ payments, official parcels and mail through the company rider and/or other approved resources within specified timelines
  • Record in coming fee notes, statements, letters and dispatching the same to the respective personnel or departments.
  • Compute lunch deductions for personnel on a weekly basis to advise HR on deductible sums by 15th day of every month or as and when requested by management.
  • Organize airport transfers and local transport for visiting consultants and contractors as advised by their work and travel schedule through the management.
  • Give administrative support other business units within the Group.
  • Ensure cleanliness and orderliness at the reception area while abiding to the policies and regulations of the organization.
  • Communicate any complaints from internal or external customers to your line manager ASAP.
  • Communicate any security and customer-care related anomalies to your line manager ASAP.
  • Any other duties as advised by the management.

Minimum Requirements

  • Degree in Business Management from a recognized University.
  • A diploma in Front Office Operations will be an added advantage.
  • Working knowledge on reporting and tracking systems for project planning and execution.
  • 2-5 years’ work experience in front office reception support services in a busy organisation.
  • Proficiency in Ms Office.

  • High level of integrity and ability to keep confidentiality 
  • People skills. Ability to effectively deal with a variety of audiences, some of whom will require high levels of patience, tact and diplomacy.
