Executive Personal Assistant (Nairobi) Job Vacancy

Our client a Fast Growing Organisation based in Dubai is looking to fill an Executive Personal Assistant for their office in Nairobi. 

The successful candidate MUST have prior experience working as a PA to the CEO.
 
Key Responsibilities:
  • Maintains office supplies inventory.
  • Managing websites, social media and audio visual equipment.
  • Basic bookkeeping, coordinating with accountants, managing budgets, petty cash, bank reconciliation, collecting program fee and invoicing.
  • Prepare reports by collecting and analysing information.
  • Manage travel logistics including air and hotel bookings, online checking in, transport, travel documents, visa applications, passport renewals, and travel insurance.
  • Welcomes guests and participants by greeting them, in person or on the telephone; answering or directing inquiries.
  • Maintains professional and technical knowledge by attending training workshops; studying manuals; establishing personal networks; participating in professional networking forums such as BNI.
  • Light housekeeping; car maintenance; gift-buying; plant care; coordinating laundry; running personal errands; arranging meals and dinner reservations.
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. Includes transcription of audio and video clips.
Qualification:
  • Must have a Bachelor’s degree in administration or business course.
  • Must have 5 + years of experience supporting C-level executives of SMEs capable of building systems in a startup environment.
  • Must have significant experience, ability and social skills to effectively connect, relate and communicate with SME CEOs, Business Owners and Executives on a peer to peer basis. 
  • Must have exceptional skills in the areas of judgment, organizational skills, diplomacy, discretion, interpersonal, written and oral communication skills.
  • Must be flexible, highly organized and have a proven ability to juggle multiple competing tasks and demands. This will require collaborating with team members and working independently.
  • Must have ability to work on assignments where independent action, discretion, and a high degree of initiative are required in resolving problems and developing recommendations.
  • Must be proficiency with a variety of computer software applications (Outlook, SharePoint, Excel, PowerPoint, VISIO, Word ).
  • MUST have a valid driver’s license.

Monthly gross salary: Ksh.100,000 - 150,000/= (Approx. 1,176 - 1,764 USD)depending on experience
