The Executive Assistant to
the Regional Manager EA is responsible for providing professional and
confidential secretarial and administrative support to the office of the Regional
Manager EA.
Primary Responsibilities:
- Manages the Regional Manager’s Diary and mail
- Organizes Travel Arrangement for all staff both locally and internationally including visas, Forex and Travel Expense Sheet
- Undertake research, consolidate various data and prepare monthly reports, presentations and corporate submissions and other correspondence for the Regional Manager EA.
- Organize management meetings, conferences and functions at company and inter-company both local and internationally
- Track and report all Commercial Activities with guidance from the Regional Manager
- Coordinates and tracks all business projects in conjunction with the Regional Manager
- Prepares for all administrative cycle meeting and ad hoc meetings including circulations of meeting minutes, consolidation of documents, presentation ad agendas
- Provides general administrative and office back up support and all round secretarial duties delivered at a professional executive level.
- Preparation reports including Leadership reports, PowerPoint presentations and agendas.
- As a manager of people understand the Company ethical standards and legal compliance responsibilities and lead compliance by each and every staff maintain an open environment where employees can speak up without fear of retaliation.
Experience:
- At least 3 years’ experience as a Senior Personal Assistant
- Well versed with MS Office Applications
Languages: Fluent in
English and Kiswahili
Certification:
- Degree in Business Administration
- Diploma in Project Management preferred
Skills and Competencies:
- Strong computer competency
- Attention to details and production of high quality work
- Excellent Communication and Interpersonal Skills
- Confidence to liaise with Senior Management team and control the function of the office
- Having a proactive approach with ability to be flexible to changing work demands
- Proven skills to draft correspondence and diary management
- Strong organisation and planning skills
- Demonstrate high levels of Confidentiality
