Logistics and Administrative Assistant Job in Kisumu Kenya

Tetra Tech is recruiting for the following position on the USAID-financed East Africa Regional PREPARED Project, which will be based in Kisumu, Kenya.

The overall goal of the PREPARED Project, a component of the larger PREPARED Program, is to strengthen the resiliency and sustainability of East African economies, trans-boundary freshwater ecosystems, and communities.

The PREPARED Project has three integrated objectives:

1) Climate change adaptation technical capacity, policy leadership and action readiness of regional institutions improved;

2) Resilient and sustainable management of biologically significant trans-boundary freshwater ecosystems in the EAC region strengthened; and,

3) Resilient and sustainable water supply, sanitation, and wastewater treatment services in the Lake Victoria Basin enhanced.

The PREPARED Project’s key institutional partners include the East African Community (EAC), the Lake Victoria Basin Commission (LVBC); the IGAD Climate Prediction and Applications Center (ICPAC); the Regional Center for Mapping of Resources for Development (RCMRD); and EAC Partner States.

Logistics and Administrative Assistant

The Logistics and Administrative Assistant will work for the PREPARED Project, from its office in Kisumu, Kenya.

Under the overall supervision of the Operations Manager, the Logistics and Administrative Assistant will be responsible for supporting the planning and implementation of PREPARED Project activities and events (e.g., workshops, trainings, study tours, etc.), and more generally project administration.

Responsibilities will include, but are not limited to:
  • making air travel arrangements for project staff, partners and beneficiaries, including but not limited to, working with the Project’s travel agent to:
  • make flight reservations;
  • ensure project travelers are accorded the most economical rates;
  • coordinate issuance of air tickets to travelers;
  • Making hotel bookings for staff and providing logistical support for meetings, conferences, workshops, and any other Project events;
  • Reconciling flights booked and tickets issued with the travel provider’s invoice each month to ensure that the Project is paying for what was requested for and approved.
  • Working with the Operations Manager to coordinate the use of Project vehicles, vehicle and driver allocations, fuel/lubricants consumption and maintenance reports;
  • Receiving visitors at the reception area and notify/direct visitor to the relevant staff member;
  • Maintaining a stock ledger with a system of “first-in/first-out” for all commodities as part of the records keeping;
  • Performing additional tasks as required

The minimum requirements for this position are as follows:
  • Kenyan citizen
  • Five (5) years of relevant experience providing logistical and administrative support
  • Professional experience with a travel agency or tour company is preferred
  • Fluency in English, including outstanding writing skills
  • Superior computer skills, including mastery of tolls in the MSOffice suite
  • Excellent interpersonal skills
