Position Description

The Executive Assistant will be responsible for providing full administrative support to the Strategy Manager and Director in Finance Department with selected support to the full team.

Role-Specific Accountabilities

The main responsibilities are:
  • Proactive calendar management and coordinate logistics for internal and external functions
  • Record and support storage of investment related documents and files
  • Assist in the preparation of presentations, letters, reports, memos and creation of forms/templates using MS Word, Excel, Powerpoint, Outlook as well as Visio as appropriate
  • Handle highly sensitive and confidential matters relating to the daily activity of the department and/or organization
  • Maintain and update Investment Finance team projects list and file management system
  • Process/manage expense reports, attendance reports and other internal compliance reports
  • Manage incoming and outgoing departmental correspondence, mail and other data requests and upload documents to relevant databases

Requirements

As the qualified candidate you possess:
  • University or college degree preferred (i.e. business administration)
  • Minimum of 6 years experience in an Administrative role,
  • Highly organized with the ability to prioritize and multi-task
  • Proven attention to accuracy and detail
  • Strong time management and organizational skills
  • Demonstrated strong communication skills (oral and written) and interpersonal skills
  • Self-motivated, flexible and adaptable in a high performance culture
  • Proven ability to work with and have a strong comfort level with all levels within the organization
  • Proven ability to work independently as well as to perform effectively in a team oriented environment
  • Demonstrated good judgment and professionalism
