Summary

Our client is an American multinational computer, technology and IT Consulting Corporation who deal in the manufacture and sale of computer hardware and software (with a focus on the latter).

They also offer infrastructure, hosting and consulting services.

They strive to lead in the creation, development and manufacture of the industry's most advanced information technologies, including computer systems, software, networking systems, storage devices and microelectronics.

Primary Responsibilities:
  • Manages the emails and calendar;
  • Manages cheque books and holds adequate funds (both for office & home expenses) as required;
  • Receives and screens telephone calls and visitors
  • Receives reviews, organizes and distributes mail;
  • Maintains appropriate electronic and physical records, files and documents;
  • Responds to general enquiries on behalf of the Executives;
  • Coordinates with various staff for operational support activities for the Executives;
  • Prepares minutes, notices, agendas and correspondence with all supporting documentation;
  • Monitors and updates inventory, and performs simple analysis on accounts;
  • Plans, arranges and communicates conferences, meetings or special events for the Executives;
  • Arranges necessary travel reservations and itineraries;
  • Implements new instructions, procedures and practices impacted by decisions as instructed;
  • Organizes and maintains the Executive’s diary and makes the necessary appointments on his behalf;
  • Takes dictation and minutes at meetings;
  • Prepares documents, briefing papers, reports and presentations for the Executive;
  • Act as point of contact for the Executive office;
  • Any other duties as delegated by the Executive

Experience:

At least 5 years’ experience as a PA to a senior executive in a busy office

Skills and Certifications:
  • A minimum of Diploma in Secretarial studies or recognized equivalent;
  • Advanced level typing, office organization and Business English,
  • Excellent written and verbal communication skills with a high level of confidentiality,
  • Excellent interpersonal skills,
  • Keen attention to detail and a highly flexible disposition,
  • Excellent computer skills,
  • Ability to work weekends and late hours.
