Program Assistant - Policy & Advocacy
(REF.:
PA—PP/ 06-13)
The Program Assistant works under the guidance of the Policy and Advocacy Officers, providing administrative and programmatic support to the unit.
The
position reports to the Policy and Advocacy Director.
Specific responsibilities will include:
- Managing and coordinating
the day-to-day operational and administrative activities of the Policy and
Advocacy Unit by organizing the flow of work and prioritizing incoming
requests including maintaining the Officers’ agenda, paper work and a
control system, with follow up to ensure timely responses
- Maintaining an
in-depth understanding of the respective AGRA programs/units and ensuring
the necessary information is available
- Screening,
responding, handling and/or re-routing correspondences, telephone calls
and general requests for funding for both technical and non-technical
information and preparing acknowledgements and responses
- Maintaining a
physical and e-filing system and ensuring the filing of documents such as
activity reports and travel plans for departmental staff ¡n the relevant
files/folders
- Coordinating the
process of project completion and reporting for which the Officers are
responsible
- Obtaining,
compiling and extracting relevant information from files, publications,
library, databases and other sources on own initiative or as directed by
members of the Policy and Advocacy Unit
- Coordinating
administrative and logistical arrangements for visitors, including
arranging appointments for the Officers, compiling and providing
information or relevant materials required
- Liaising with
the Travel Assistant to handle local and international travel logistics
including, travel schedules, ticketing, visa applications, hotel
accommodations and processing of travel expenses
- Making necessary
arrangements for meetings, workshops and conferences including drafting
agendas and ensuring venues are booked and related resources are provided
including background documentation
- Undertaking
special assignments for the Policy Officers such as logistics for events
organized for donor visits, receptions, special meetings and other
activities as assigned
- Assisting in the
collation of information for AGRA Board meetings
Key
Qualifications, Knowledge & Experience
- Minimum of
undergraduate degree or equivalent
- Minimum of 3
years’ experience in a closely related field
- Computer
proficiency in: Word, Excel, Outlook, PowerPoint, Internet search skills
and ability to learn new applications quickly
- Must be able to
work independently with little supervision, but also participate as a team
member in accomplishment of duties
- Strong attention
to detail and maintaining a timely and efficient work flow
- A strong
administrative service orientation
- Strong numerical
skills and understanding of organizational finances
- Strong
organizational skills and ability to work under pressure

Media and Digital Specialist
(REF.:
MDS I 06-13)
The Media and Digital Specialist will work with the Communications team and be responsible for coordinating production of content for the website, editing web content generated by multiple authors, producing short videos and audio clips for the website, undertaking media monitoring, doing html graphic design and managing a digital photo library.
Specific responsibilities will include:
- Creating and
managing AGRA social media channels including uploading information and
materials and monitoring comments and giving feedback
- Capturing and
writing stories about our work for a range of stakeholders and platforms
in various formats including video, radio, stills, website and print
publications
- Creating,
producing, editing and maintaining new media content for the AGRA website
and ensuring that AGRA’s editorial principles and all relevant legal,
contractual and copyright requirements are met
- Implementation
of a strong marketing plan to build awareness and usage of AGRA’s
corporate website.
- Building and
maintaining effective working relationships with a network of writers
based in various country offices and amongst grantees
- Mentoring and
training AGRA colleagues in a variety of communications and digital media
skills (e.g. social media, writing blogs, editorial style and guidelines,
branding)
- Building a
strong blogging culture within AGRA and ensure the organization
contributes effectively to the on-going global debate on agriculture
- Planning,
editing and designing a variety of print products I publications using
desktop publishing tools
- Ensuring impact
assessments across AGRA’s corporate media outputs is measured according to
agreed metrics and shared monthly with the management team and colleagues
- Providing
editorial support and offering guidance to a widening pooi of website
contributors using a range of tools including maintenance of the AGRA web
pages; creating and monitoring the AGRA Facebook page; and uploading and
editing video materials on YouTube and photos on Flickr
Key
Qualifications, Knowledge & Experience
- Minimum of a
Bachelor’s degree in digital media-related field
- Demonstrated
experience working with international organizations
- Ability to work
independently, multi-task and meet tight deadlines
- Be highly
organised and systematic, with great attention to detail
- Background in
Agriculture will be an asset
- Fluency in
English is required; knowledge of French will be an added advantage
An
