Job Title: Data Entry and Admin AssistantReports to: Human Resource Manager
Responsibilities and Accountabilities
1. Uploading GPS images
- Receive all the
pictures taken by field staff and screen them for accuracy, quality and
GPS coordinates as per company standards and procedures.
- Renaming and
editing the images according to the serial numbers
- Receiving,
organizing and filling of all builders forms/data collectors forms/ check
forms from field staff
- Performing
quality checks for all the above data ensuring all forms are correctly
filled
- Enter the
relevant data into distribution sheets
- Receiving,
organizing and filling of all carbon transfer forms from field staff
- Performing
quality checks for the above ensuring forms are correctly filled
- Scan all forms
and store/backup soft copies of the same
- Upload all
scanned copies
- Doing the data
entry of all the surveys from the field and ensuring that the target is
met.
- File all hard
copy data for all projects according to the company standards and
procedures, to provide a comprehensive and clearly referenced audit trail
for all project data
- Ensure/undertake
backup of all soft copy data for all project data
- Preparation of
progress reports (weekly) for assessment of work conducted and project
progress
- Monitoring data
collection and upload through the use of project data tracking tools
- With the
guidance of the UK staff and when requested will be analysing the surveys
on behalf of the company.
- Keep the records
of the analysed data both soft and hard copy and send the report to the
concern staff.
2.
Office administration
- Purchase all
stationary for office and schedule couriers as requested.
- Printing/scanning
and photocopying for the office.
- Perform general
requests made by colleagues.
- Answer all
inbound calls.
- Ensure all areas
are clean and tidy, oversee the office cleaner and provide her with all
the necessary cleaning equipment required plus paying the office
cleaner her monthly salary,
- Ensure milk,
tea, coffee, biscuits are available and purchase of kitchen essentials.
3.
Generally
- Responsible for
all equipment assigned to you – such as phones, laptops etc
- Agree to follow
the code of conduct as set out by the company for all employees.
- Other secondary
responsibilities
- All other
activities as requested by the Senior Country Coordinator or acting line
manager
Minimum
Qualification and Requirements:
- You need to have
high personal integrity and be willing to take personal responsibility for
your own work.
- You must have
the intellect and creativity to resolve complex situations.
Certificates
& experience in
- Data entry and
administration/logistics
- Very good
computer skills (especially with databases)
- Soft skills and
personal work ethics
- Good
interpersonal skills with the ability to encourage a team-based approach
- The ability to
communicate effectively (both orally and in writing) with a wide range of
people within and external to the post holder’s own organisation.
- A logical mind
with the capacity to overcome difficult problems creatively.
- Good
organisational and negotiation skills together with the ability to
prioritise.
- To be honest,
discreet and trustworthy.
- An ability to
work quickly and accurately.
- An eye for
detail and an ability to work to deadlines.
