- Plan, organise,
promote, facilitate and co-ordinate different types of events
- Monitor and
coordinate the timeline of an event
- Researching
markets in order to identify different opportunities for event
- Researching the
most effective and creative way to carry out the event
- Preparing event
reports: Status reports, Post – Event reports.
- Compile detailed
proposals for events, which may include timings, venues, suppliers, legal
obligations, etc
- Co-ordinate the
activities related to the execution of the event
- Provide guidance
and information pertaining to the event to the suppliers
- Ensuring that
quality supplier/customer standards are upheld at all times
- Ensuring
logistical functions are managed timeously
- Scheduling
events and coordinating appointments
- Creating and
revising plans and layouts for different events
- Liaising with
suppliers to ensure that their needs are effectively met
- Assist with
negotiations for space contracts and book event space, arrange food and
beverage, order supplies and audiovisual equipment, make travel
arrangements, order event signs, and ensure appropriate décor (florals,
linens, color schemes, etc.) to meet quality expectations
- Aggressively
gather information on each project to achieve quality event productions
- Conduct
research, make site visits and find resources to help staff make decisions
about event possibilities
- Create and
revised room layouts for each event
- Propose new
ideas to improve the event planning and implementation process
- Serve as liaison
with vendors on event-related matters
- Assist with
managing on-site production and clean up for events as necessary
- Prepare
name-tags, materials, notebooks, packages, gift bags, registration lists,
seating cards, etc.
- Assist with
preparing budgets and provide periodic progress reports to staff directors
for each event project
- Keep track of
event finances including check requests, invoicing, and reporting
- Coordinate
appointments and visits to see our space, and scheduling of events on the
calendar
- Prepare and
modify event contracts as requested
- Carry out any
other work as deemed necessary from time to time by the Head of Events
Experience: At least 3
years of experience at a national events company handling corporate events and
office administration. Media industry exposure valuable
