Procurement Manager, Warehouse Coordinator, Logistics Coordinator and Accountant Jobs in Athi River Kenya


Our client is a company registered in Kenya and trading within East and Central Africa. 

As a result of recent growth and expansion , the company has opened a warehousing and storage facility as part of operations at the Athi River based Export Processing Zone, and is seeking experienced, hardworking and qualified candidates to fill positions in the facility.

Procurement Manager

 

Job purpose: 

Reporting to the Head of Operations, the procurement manager will have overall responsibility for establishing, contributing and continually improving efficient and cost effective procurement, warehousing and logistics processes.
 
The job holder will ensure continuity of supplies, oversee inventory control and warehousing, and manage supplier relationships.
 
Duties and Responsibilities:
  • Develop and implement procurement strategy and policies
  • Forecast procurement needs and establishing lead times for various commodities
  • Ensuring that international purchases are processed efficiently from order, shipping to clearing. This will include liaison with government import departments.
  • Regular review of needs and opportunities in destination sites and source goods and commodities as per identified opportunities
  • Build and maintain effective supplier relationships to ensure that supplier performance consistently meet and exceed business expectation. This will include measuring supplier performance in terms of time delivery and quality
  • Negotiate and agree on price, credit and payment terms with the suppliers
  • Prepare purchase requisitions, approve and issue purchase orders in accordance with company policy and negotiated terms and conditions
  • Prepare contracts for procurement of goods where necessary and maintain the documentation and other related records
  • Conduct first review of supplier invoices to ensure compliance with order and goods received at warehouse
  • Prepare payment request and ensure timely payment to suppliers to maintain business relationships
  • Ensure supplier compliance with site and company requirements on safety standards
  • Manage staff in the Procurement department to ensure focus on performance and that a high level of motivation is maintained
  • Managing the procurement budget and resources, controlling and optimizing life cycle cost.
  • Liaise with finance department to ensure accurate and timely payment of invoices, as necessary for the business with the supplier
  • Prepare procurement reports as scheduled or on demand
Essential qualifications:
  • Graduate in Business Administration. University qualification in Purchasing will be an added advantage
  • Diploma in Purchasing and Supplies. Membership of CIPS or KISM required.
  • 5 years experience in Procurement department role with increasing responsibilities
  • Experience in a busy enterprise, warehousing will be a definite advantage
  • International purchasing  experience will be given preference

Warehouse Coordinator
 
Job Purpose: 

Under the supervision of the Purchasing Manager, the Warehouse Coordinator will have responsibility to receive, verify, document, warehouse and distribute goods and commodities received into the warehouse. 

The job holder will carry out periodic physical count of warehouse and storage items. 
 
Duties and Responsibilities:
  • Receive and verify all goods purchased and raise Goods Received Note (GRN) against purchase order as evidence that goods have been delivered.
  • Enter received goods into warehouse and storage upon approval of GRN by relevant officers
  • Ensure goods received are of the right quality and quantity as described in purchase order, recording variances for further action
  • Maintain warehoused items with highest degree of care and integrity by preventing pilferage or damage. This will also include control of access to warehouse and storage.
  • Prepare stacking/ storage plans for all store inventory in accordance with warehousing best practice
  • Update bin cards on daily basis and maintain ledgers parallel to the computerized inventory as a short term control tool
  • Oversee the issue and distribution of materials as per agreed schedule and procedures ensuring appropriate documentation
  • Maintain, record and update movement of storage items and ensure that documentation properly filed
  • Maintain, record and update all waybills issued for suppliers transferred outside CAT warehouse and follow-up on return of waybill by the receiver
  • Monitor stock movement to identify fast moving commodities and establish necessary re-order levels
  • Maintain cleanliness in the warehouse and ensure that order is maintained at all times
  • Ensure safety of the stores from fire, water and other elements that may damage items. Manage the safekeeping of keys and ensure fire detection and prevention mechanisms are in place.
  • Implement necessary health and safety standards in the warehouse ensuring the safety of warehouse staff. Ensure that PPE is worn at all times by personnel in the warehouse.
  • Generate stock reports on a weekly basis for review by the authorized officer and have a ready “warehouse position” report on demand.
  • Ensure that Warehouse documentation and records are distributed, copied and filed as necessary
  • Conduct regular physical count of warehouse and storage items to verify integrity of records and documentation
Essential Qualification:
  • Professional qualification in warehousing/ logistics/ supply chain management
  • Demonstrable stock keeping or warehousing experience is a key requirement. Experience in a trading organization will be an added advantage
  • Computer proficiency
  • Experience preparing situation reports for management decision-making
  • Physically fit as job may involve long periods standing, movement and some lifting

Logistics Coordinator
 
Job Purpose: 

Reporting to the Procurement Manager, this position is responsible for management of logistics to enable the operations of CAT. 

This role will oversee the import and export of commodities around the region.
 
Duties and Responsibilities
  • Manage the movement of goods and commodities from warehouse through various locations to destination within the region
  • In liaison with shipment subcontractor, ensure that goods and commodities are shipped from the supplier and cleared with customs in a timely manner
  • Coordinate the arrival of shipments (both local and imported) into the warehouse
  • Liaise with international suppliers to ensure timely issue of pro-forma invoices, certificate of conformity and originals of all relevant import documents
  • Oversee clearing agent to ensure expeditious movement of goods through customs to avoid demurrage/ storage charges and ensure timely issue of IDF, direct loading of cargo, clearing documents and lodging of customs entry
  • Ensure relevant insurance covers for cargo, stock, goods in transit and that these are updated as is necessary
  • In liaison with relevant internal departments, ensure bills are verified and paid in a timely manner
  • Ensure goods received are as described in order, packing and shipping documents
  • Oversee the distribution of goods from the warehouse and manage reverse logistics where necessary
  • Coordinate with the transport subcontractor to ensure efficiency in delivery of goods and commodities to sites within the region, as well as proper tracking and tracing of these goods and commodities
  • Under the direction of procurement manager, manage subcontractors along the supply chain
  • Identify and communicate areas of improvements and efficiencies
  • Prepare status report for the consumption of relevant officers
Essential Requirement:
  • Professional qualification in Logistics management
  • 5 years experience coordinating movement of large quantities of goods and inventory across territories
  • Demonstrable understanding of import and export trade processes
  • Able to set and meet targets on the job
  • Proficiency in computer including materials management modules
  • Excellent communication and interpersonal skills

Accountant
 
Job Purpose: 

Reporting to the Head of Operations, the job holder will effectively management the financial systems and procedures to insure integrity of accounting data and information, implement controls and prepare periodic financial reports (cash flow projections, profit and loss, balance sheet), budgets and financial plans. 
 
Duties and Responsibilities:
  • Responsible for  the accurate preparation of periodic financial reports on financial performance to ensure management has up to date information (trial balance, profit and loss account, balance sheet)
  • Ensure proper recording of debtors and creditors (both trading and non-trading) and ensure accurate reconciliation of balances
  • Ensure credit control by reviewing of outstanding accounts and advising management accordingly
  • Establish, maintain and coordinate the implementation of accounting control procedures
  • Cash flow management to ensure limits are not exceeded and anomalies are detected in time to meet obligations
  • Receive invoices, verify for accuracy against Pos and Warehouse reports and prepare payments according to agreed terms
  • Review bank reconciliations in accordance with control procedures and report on variances
  • Prepare monthly payroll, relevant statutory returns and ensure month to month variances are well explained
  • Ensure timely payment of utility bills
  • Initiate letters of credit and TT Payments for imported goods
  • Maintain relevant documentation in the Accounts office e.g. petty cash vouchers, supplier files etc
  • Interact with external auditors for completion of company audits
  • Prepare daily cash position reports, weekly reports and other scheduled reports as demanded
Essential Qualifications:
  • Professional qualification in Accounting (CPA, ACCA or equivalent)
  • 5 years experience in accounts department carrying increasing responsibility. Experience in a trading organization a definite advantage.
  • Experience using accounting software
