Applications are hereby invited from suitably qualified candidates to fill the above Temporary Appointment position in the Field Operations & Emergency Section of UNICEF Kenya Country Office.

Purpose of the Post:  

Under the direct supervision of the Programme Specialist (Head of Office), Lodwar Office, assists in the coordination of all support services relating to programme in support of the Lodwar Field Office. 

Major Duties and Responsibilities:
  • Maintains financial records and monitoring systems to record and reconcile expenditures, balances, payments, statements and other day to day transactions and reports, vouchers etc. Monitor compliance with all operational systems and procedures.
  • Prepares recurring reports as scheduled and special reports, as required for budget preparation, audits or other reasons.
  • Undertake routine office support services, including maintaining the diary of the Programme Specialist, word processing of documents and responding to routine correspondences, taking notes at meetings, receiving/ sending mail/ faxes, maintaining a filing system, receiving and directing visitors as appropriate.  
  • Provide support to consolidation of weekly reporting on programme activities. Maintain an updated contact list of all staff in Lodwar Office and key staff in the Country office in Nairobi and the various field offices, and also for key partners. Organize meetings and provide support during meetings.
  • Report on partner liquidation and spot checking on utilization of UNICEF provided funds and supplies.    
  • Process travel requests and prepare travel documentation as requested by programme staff.
  • In cooperation with programme staff, support preparation of supply plans, raise supply requisitions and monitor delivery, checking on quality.
  • Maintain an appropriate centralised programme filing system for the field office to support programme monitoring, planning and implementation.
  • Prepare documents, keep notes and undertakes follow- up actions for the section as may be required.
  • Assist in collecting data and information for report writing.
  • Maintain tracking of staff movement and linkages with appropriate security focal points within UNICEF and other agencies.
Required Qualifications:
  • Completion of Secondary School Education.
  • Supplementary technical courses or university credits in an Administrative or Finances, or Accounts field is an asset.
  • IT Skills: Computer literacy and the ability to effectively use standard office software tools and other office technology to create documentation, exchange and archive e-mail, and maintain electronic filing systems.
  • Office Management Skills: Ability to organize own work, set priorities and meet deadlines. Ability to handle work quickly and accurately under time constraints.
Experience: Five years of experience in administrative or accounts, or finance or programme support work, which should have provided a good knowledge of clerical practices and procedures, including on the job training in administrative procedures and systems.

Language: Fluency in English and knowledge of Kiswahili, both spoken and written, is required
