Administrative Assistant Job in Nairobi

The International Rescue Committee (IRC) in Kenya serves vulnerable populations in the Turkana and Garissa regions as well as in Eastleigh, Nairobi.

The IRC implements programs in the areas of comprehensive primary health care, nutrition, protection, peace building, water and sanitation and hygiene (WASH), HIV/AIDS prevention, response to gender based violence, disaster risk reduction (DRR), livelihoods and governance. 

Applications are invited for the following position: 

Temporary Administrative Assistant, Nairobi

Responsible for providing administrative support to the Country Director and the two Deputy Directors. This is a temporary assignment up to June 8, 2012.

Key Responsibilities:

  • Scheduling meetings and the calendars of Country and Deputy Directors
  • Arrange field trips for the Country and Deputy Directors
  • Ensure accurate and prompt delivery of messages to all Directors
  • Format and finalize all executive office documentation to internal/external parties
  • Ensure all grants have complete grant files with all appropriate information such as original agreement, final copies of proposal submitted, final copy of all external reports and any correspondence relating specifically to the donor
  • All correspondence is filed promptly in an ordered and systematic manner
  • Maintain an easily explainable and systematic filing system to be institutionalized
  • Follow up on requests from field offices
  • Compile, transcribe and distribute minutes of meetings
  • Open, sort and distribute incoming correspondence
Required Qualifications:
  • Degree in Business Administration.
  • Basic computer skills in Word, Excel, email and internet
Required Experience & Competencies:
  • Good English language skills. Ability to communicate well in written and spoken English
  • Experience in travel and immigration operations
  • Experience in busy office in administrative support services
  • Ability to multitask, manage pressure and flexibility
