A leading public Agribusiness Company is seeking to recruit a
dynamic and enterprising individual to fill the position of PA to the
Managing Director.
Based in the Company’s Nairobi head office, the job holder will be responsible for coordination of activities in the Managing Director’s Office in relation to administrative, public relations, secretarial and support services in an effective and confidential manner.

Key Duties & Responsibilities
Reporting to the Managing Director, the successful candidate will be responsible for:-
- Managing
and maintaining the Managing Director’s diary – Appointments, Meetings and
events;
- Managing
and maintaining efficient and effective communications channels between
the office of the Managing Director and other parties including Business
Units/ Support Units and External Customers;
- Read
and analyze incoming mail, memos, requests and reports to determine their
significance and plan their distribution and appropriate responses where
applicable;
- Receiving
and screening incoming calls, visitors, correspondence and determining
best course for their distribution to MD or other parties;
- Coordinate
meetings that involve the MD and take minutes when required;
- Maintain
proper filing of records to facilitate speedy and efficient retrieval of
documents within the Managing Director’s office;
- Liaise
with HR & Administration Office on preparation of both local and
international travel logistics as well as Accommodation for the Managing
Director;
- Create
relevant reports, carry out basic research and analyse data when required
to assist the Managing Director;
- Act
as a link between the Managing Director and other Directors and the Heads
of departments on various issues arising in the business;
- Action
all directives given from the Managing Director as and when necessary.
Qualifications and Competencies
- Bachelors
Degree in Business Administration/Secretarial Studies
- Appropriate
Diploma qualification in relevant field such as Business Administration,
Secretarial studies or Public Relations
- Minimum
3 years relevant experience preferably gained in providing support to
Senior Management in a busy office
- Good
MS Office knowledge; Word/Excel/ Power Point/ Outlook
- Self
starter with personal initiative and ability to work without supervision
- Excellent
Oral and Written communication skills
- High
levels of confidentiality, integrity and good client relations
