Personal Assistant Job Vacancy

As a Personal Assistant (PA) you shall be required to work closely with the Managing Director to provide Administrative support.

You will often be trusted with confidential material and be relied upon by the Managing Director to ensure that everything needed is in place.

You will often act as the Managing Director’s first point of contact with people from both inside and outside the organization.

Typical work activities include:
  • Deputizing for the manager, making decisions and delegating work to others in the MD's absence;

  • Devising and maintaining office systems, including data management and filing;
  • Arranging travel and accommodation and, occasionally, travelling with the MD to take notes or dictation at meetings or to provide general assistance during presentations;
  • Screening telephone calls, enquiries and requests, and handling them when appropriate;
  • Meeting and greeting visitors at all levels of seniority;
  • Organizing and maintaining diaries and making appointments;
  • Dealing with incoming email, faxes and post, often corresponding on behalf of the MD.
  • Taking dictation and minutes;
  • Carrying out background research and presenting findings;
  • Producing documents, briefing papers, reports and presentations;
  • Organizing and attending meetings and ensuring the MD is well-prepared for meetings;
  • Liaising with clients, suppliers and other staff.
In addition to supporting the MD, your team and departments, you shall also have your own personal workload and responsibilities.

Additional duties may include:
  • Carrying out specific projects and research;
  • Responsibility for accounts and budgets;
  • Taking on some of the manager's responsibilities and working more closely with management;
  • Being involved in decision-making processes.
At times you will be forced by circumstances to do secretarial work by yourself, take responsibility for recruiting and training junior staff and delegate some of your less demanding and confidential work to them.

Qualifications needed /Personal Attributes Required
  • A degree or diploma in Business or Management or Business Administration
  • Word processing skills and knowledge of basic computer software packages,
  • Shorthand and audio typing are also beneficial but not mandatory requirements.
  • A very effective communicator (Very polished English and Kiswahili)
  • Assertive and pro-active in decision making.
  • Able to work with discretion and confidentiality.
