Job Description:

The Administrative Assistant is responsible for operating the ICF MACRO Kenya office phone system and ensuring it is functional at all times. S/he should maintain telephone contact information. S/he is expected to be professional, courteous, prompt and pleasant on phone.

The Receptionist will assist with other front office functions like sending/receiving couriers; ensuring mail is picked from the post office and other office support tasks as needed.

Responsibilities to include:

  • Manage the phone system and ensuring that all phone problems are rectified promptly.
  • Review the monthly telephone bills before forwarding to Finance for payment
  • Maintain a telephone contact list for ICF MACRO partners, stakeholders, Vendors and other relevant contacts.
  • Assist in distribution of in-coming mail in a timely manner. Ensure that all outgoing mail (local and in-country) is correctly addressed, recorded and sent out/collected promptly.
  • Assist in setting up of conference room(s), request cash advance for refreshments and other logistics for in house meetings
  • Assist in making taxi bookings and other travel arrangements (both for staff & office guests) in liaison with the Office Manager.
  • Receiving office guest and providing necessary assistance as needed.
  • Making hotel reservation for office guests as needed
  • Receiving office supplies and verifying for quality, quantity among other expected features.
  • Provide regular guidance/feedback to the Office Manager on issues related to the reception/front office.
  • Maintain office Inventory (consumable supplies) with a view to ensuring all supplies are efficiently utilized.
  • Assisting staff with photocopying, scanning official documents, etc
  • Ensuring the reception area is clean and neat all the time.
  • Follow up on training, workshop & conferences attendees
  • Other duties, as assigned
Basic Qualifications:
  • Minimum - a diploma in Secretarial studies
  • Basic computer skills including hands on-experience with MS Word, MS Power Point, and MS Excel
  • Proficiency in both written and spoken English and Kiswahili.

  • Self-motivated, proactive, requiring minimum supervision
  • Collaborative and flexible attitude
  • Excellent interpersonal and communication skills
  • Possess a high level of confidentiality
  • Front Office / Receptionist experience
