Job Description:

The Office Manager (OM) is responsible for providing administrative/office support to the ICF MACRO Kenya Office. This includes providing administrative/office support to the ICF MACRO Staff, visitors and/or consultants.

The OM is responsible for implementing and maintaining on-site administrative, procurement, asset management and security systems to ensure the integrity, smooth effective operation of the ICF macro Kenya office.

Responsibilities to include:

  • Oversees and manages the administrative/office operations of the ICF MACRO Kenya office as needed, including purchasing, Inventory management, file management, stores management, office security, etc.
  • Supervising general support services, ensuring general cleanliness and maintenance of the offices.
  • Verify all purchase, taxi usage, courier, etc. invoices, before they are forwarded to finance for payment
  • Assisting in coordinating office space for visitor and consultants.
  • Liaise with vendors and other service providers and ensuring invoices are verified and forwarded to Finance on a timely basis
  • Liaise with USAID on administrative matters i.e. taxes including VAT, relocation, travel authorization etc. Making runs to the embassy to drop/pick paperwork, type forms, etc.
  • Organizing for training venue reservations (in Nairobi and in the regions)
  • Making staff (onsite and remote) travel arrangements and scheduling
  • Support program planning and reporting i.e. report formatting, updating of work plan and Gantt charts
  • Provide feedback to the Finance and Administration Manager on routine office based administrative issues.
  • Assume other responsibilities as assigned
Basic Qualifications:
  • Bachelor Degree in a relevant field.
  • 5 years experience in office management in a busy environment.
  • Masters in Business Administration will be an added advantage.
Preferred Skills:
  • Computer skills including demonstrated hands on-experience with MS Word, MS Power Point, and MS Excel
  • Proficiency in both written and spoken English and Kiswahili.
  • Self motivated, proactive and have a positive attitude to work requiring minimum supervision.
  • Working knowledge of USAID operations, purchasing and administrative services practices
  • Ability to communicate effectively, instilling trust and confidence.
