The position of

This position will be based on our Nairobi office but will entail some regional travel to our EA offices.

As an Office Manager, you will be a valuable resource, charged with the following:
  • Initial preparation of Imprest reports on a bi-monthly basis while meeting the set out H.Q Imprest deadlines;
  • Petty Cash management;
  • Asset and inventory management - Safe keeping and distribution of office supplies while keeping a record of the same, in conjunction with the Finance and Admin Manager;
  • Document/ Record Management;
  • Procurement Management as per the USAID regulations;
  • Project Office Management – This involves coordinating travel requests, accommodation and immigration related duties and conferencing needs arrangements;
  • Process any VAT claims through the USAID offices in Kenya. Involves preparation of DA1 forms;
  • Administration Role – Support Deloitte staff, assist in formulating policies and standards that ensure a high level of integrity in Financial, Procurement and Travel support for our staff as well as provide guidance on the same;
  • Staff supervision - office cleaner (assistant), office messenger and project drivers;
  • Assist in preparing budgets and financial forecasts; and
  • Support the Finance and Administration Manager in any other assigned duties.
Qualifications:

As the ideal team player, you should possess the following attributes:
  • Degree in Business Administration or equivalent;
  • Accounting qualification: at least CPA II;
  • 4 years work experience;
  • Knowledge of USAID rules and regulations in reference to financial management and Procurement procedures will be an added advantage;
  • Project management and exposure in an work environment that is donor funded skills will be an added advantage;
  • People management skills;
  • Ability to multitask and work well under pressure; and
  • Good organisation and time management skills.
