Procurement Coordinator Job in Nairobi - Save the Children UK

Save the Children UK in Kenya works in the North Eastern Province (Dadaab, Wajir and Mandera) with Programmes in Child Protection, Nutrition, Livelihoods and Health.

We are seeking qualified candidates to fill the following position:

Procurement Coordinator – Nairobi


Job Purpose

Manage procurement of project supplies for Save The Children UK, Kenya Programme UK, Kenya Programme field offices ensuring the supplies are procured in line timely manor in line with SC and Donor requirements and that best value for money is obtained at all times

Key Responsibilities
  • The implementation and / or maintenance of standard Save the Children UK, Kenya Programme UK, Kenya Programme procurement policies and procedures.
  • Provide procurement services for Save the Children UK, Kenya Programme field offices as required.
  • Ensuring that procurement is carried out in accordance to Save the Children UK, Kenya Programme and donor-specific polices.
  • Coordination with Finance, Admin and Program departments to ensure integrated internal controls, timely payment of vendors and full, auditable support documentation.
  • Ensuring that a transparent and responsive procurement process is implemented and maintained.
  • Routine communication, coordination and planning with the relevant requesting staff / programs regarding the order and delivery of supplies.
  • Ensuring that all Supplies, services and equipments required are delivered in time.
  • Establishment and maintenance of ethical, professional working relationships with suppliers.
  • Maintain supplier information for regularly purchased items, and be informed of current local market conditions.
  • Support and provide the appropriate trainings for procurement and program staff in all field offices as required.
  • Provide technical support to Procurement Focal persons in field.
  • Manage Procurement staff (Assistant etc).
  • Advise the Logistics Manager of procurement-specific issues or improvements.
  • Any other duties or tasked delegated by Logistics Manager.
Expected Deliverables:
  • Provide on-time, standard monthly reports to the Logistics Manager.
  • Generate and maintains a Save the Children UK, Kenya Programme preferred Vendor database.
  • Generate and maintain comprehensive price list for goods, services and equipments purchased by Save the Children UK, Kenya Programme
  • Produce routine cash / payment projections for Logistics Manager and Finance.
  • Submit monthly list of commitments to Logistics Manager and Finance
  • Produce routine purchase status reports for Logistics Manager, Programs and Finance.
  • Maintain the Save the Children UK, Kenya Programme PR Tracking & Metrics system and submit routine reports to the Logistics Manager.
General
  • To be prepared to work extra hours when required as a level of flexibility.
  • Act and communicate at all times in a polite manner respectful of others.
  • To conduct all activities in an honest and trustworthy manner in SCUK’ best interests.
  • To carry out other logistics tasks as requested by the Logistics Manager Nairobi to facilitate the work of SCUK in the field.
Person Specification

Essential:
  • University Degree in Supply Chain Management or Bachelors and Diploma in Supply Chain Management.
  • 2-3 years of experience in a busy Procurement/Logistics Department.
  • Proven experience in purchasing.
  • Good communication skills.
  • Computer literate.
  • Fluent in English and Kiswahili.
  • Ability to keep clear and concise records.
  • Diplomacy, tact and negotiating skills.
  • Team-working skills.
  • Flexibility under pressure and in response to changing needs.
  • Attention to detail and excellent numeric accuracy.
