VSF – Belgium Assistant HR & Administration Officer Job in Juba

In East Africa, our programmes focus on community based animal health services, capacity building of local institutions and governments, conflict mitigation and sustainable natural resource management.
Position Title: Assistant HR & Administration Officer
Duty Station: Juba South Sudan
Duration: 1 Year Renewable

The main role of the position is to provide Human Resources and administration support for the county office in particular to the Administrator / Accountant and ensure administration services at the country office run smoothly.
·         Oversee monitoring and usage of stationery, office and guest house supplies.
·         Oversee office and guest house management and ensure all office utility bills, services are functioning smoothly.
·         Facilitate arrangements for meetings, conferences, office parties etc.
·         Preparation of office information pack and manage its distribution to the field.
·         Facilitate office and guest house repairs and maintenance.
·         Managing the reception and facilitating clients/visitors coming to the office.
·         Office filing for general documentation.
·         Updating the VSF Belgium templates file (Leave, TOIL, Casual contracts, Per diems templates).
Human Resources
·         Administering salary advances, processing statutory payments and ensuring they are done on time.
·         Updating staff lists and internal directory contacts and documents.
·         Staff leave management.
·         Participate and Support the recruitment and separation processes for staff.
·         Facilitate all staff welfare and benefits in conjunction with the Administrator / Accountant (i.e. Medical, Group life Insurance, War risk cover, Social security).
·         Facilitation of staff health and pension information forums.
·         Drafting office and HR correspondences.
·         Participate in the induction process for new Sudan based staff and ensuring all induction and orientation documents are availed.
·         Co-ordinate the performance review exercise for Sudan staff.
·         Prepare casual contracts and payments.
·         Co-ordination of staff and management meetings.
·         Manage staff files.
·         Any other duties allocated by the Administrator / Accountant and Country Programme Manager.
Essential or Minimum Requirements
·         Diploma or Higher Diploma in HR and Business Administration.
Knowledge and experience
·         Minimum of 3 years experience in HR and administration.
·         Working experience with an NGO or private sector will be an added advantage.
·         Working knowledge of the South Sudan Labour regulations.
·         Competent in use of Microsoft applications especially Excel and Word.
·         Excellent interpersonal and communication skills.
·         Good writing skills.
·         Accuracy.
·         Fluency in written and spoken English with Arabic as an added advantage.
·         Ability to work under pressure and meet strict deadline.
·         Ability to work independently.
·         Team Player.
·         Flexibility.
·         Proactive and takes initiative.
·         Respect when dealing with others.
·         Presentable, outgoing with a pleasant character.
·         Identify him/herself with the mission, vision and values of VSF-Belgium.
·         Display of intercultural sensitivity.
