Project Assistant Job Vacancy

Job Description

Under the general supervision of the Project Manager and the project Engineers, the 
Project Assistant will perform administrative support functions, which may include clerical work such as personnel, finance, registry, and procurement.

The Project Assistant will perform the following specific duties:

Duties and Responsibilities
  • Assist in the preparation of progress reports and financial reports on the project

  • Process and maintain accounting documents including but not limited to Accounts Payables, payroll and billings.
  • Exchange of official correspondence related to the project activities
  • Assist in the development of project work plan
  • Monitor project budget in terms of expenditures according to the work plan
  • Prepare documentation for discussions and briefing sessions
  • Arrange appointments for supervisor, receive visitors, places and screen telephone calls
  • Respond to routine requests for information and assist in making travel arrangements for project personnel
  • Assist the team with the tracking and issuing of project documents
  • Oversee all office equipment and ensure equipment is functional at all times, maintain office filing system, prepare minutes of the meetings.
  • Interpretation and processing of entitlements, issuance of contracts and maintenance of various personnel records and files.
  • Track and maintain records of employee training, certifications, resumes
  • Understands and complies with client policies and procedures.
  • Understands and complies with local regulations and laws
  • Collect, register and maintain information on project activities by reviewing reports and through first hand sources.
  • Liaison to HR department and maintain onsite employee files.
  • Undertake other assignments delegated by the Project Manager.
Qualification/requirements
  • University degree
  • Practical experience in similar positions/projects
  • Minimum of 3 years work experience in project management and/or public administration
  • Good knowledge of English,
  • Computer skill, good knowledge of MS Word, Excel, PowerPoint, e-mail and Internet
