Accounts and Administration Assistant

Purpose:

To render administration and finance support services to the Country Management team based at the mothers2mothers Kenya country office in Nairobi. The position reports to the Accounts and Administration Manager.

Key Outcomes:
  • Work in close collaboration with Regional Offices, facilitate process around reconciliation of claims, quotations, invoices and facilitate payments;
  • Collation of reports and correspondence as required by Country Director and key staff;
  • Coordinate traveling and accommodation financial logistics for operations team;
  • Prepare cheques and petty cash payments on routine basis;
  • Do banking, collect cash, bank statements and other correspondence from the Bank;
  • Lodge monthly payments to al suppliers;
  • Manage local expenditures and safe guard the programme assets;
  • Assist with preparation of monthly journals;
  • Sort and process cheque payment vouchers to general ledger;
  • Perform bank reconciliation on a monthly basis;
  • Make photocopies and file all office documentation including maintenance of filling system;
  • Ensure equipment is in good state of repair and all equipment is working efficiently;
  • Assist project staff with any logistics that may become necessary in the implementation of the project;
  • Perform other reasonable tasks as necessary to support the functioning of the Country office.
Qualifications and Experience:
  • 2 Year Diploma in Accounting, or CPA II or equivalent
  • Minimum 3 years relevant experience in an Accounts office.
Competencies Required:
  • Excellent computer literacy in MS office packages (Excel, Word & Power point);
  • Conversant in English;
  • Must be self motivated and team orientated;
  • Must be able to work well under pressure;
  • High level of planning and organizational ability;
  • Must act quickly and calmly in emergency situations;
  • Ability to work with people;
  • Ability to plan work, and to work independently using initiative where necessary;
  • Well developed verbal and telephonic communication skills;
  • High level of integrity and accountability;
  • High attention to detail;
  • Ability to write letters, minutes and memoranda.
