Job Title: Project Manager

Reports to: General Manager/Managing Director (GM/MD)
Supervises:- Records Officers/Associates; Project Staff (temporary and permanent)
Job Summary

  • Responsible for the successful conceptualization, coordination and execution of projects within budget.
  • Ensuring consistency with company strategy, goals and core values in all aspects of project management.
  • Bottom line responsibility for delivery of projects on time and within budget.
  • Primary responsibility for Client (internal and external) communication, relationship management and satisfaction with project scope.
Essential duties and responsibilities:
  • Develop and execute project plans, and revise as appropriate, to meet Company and Client needs and requirements.
  • Understand Client requirements and budgets and define project scope, timelines and deliverables accordingly.
  • Prepare budgets for each project for approval by GM/MD.
  • Define project tasks and resource requirements and manage project on time and within budget.
  • In conjunction with the team leaders for Operations and Client Services identify and coordinate project staff.
  • Manage day-to-day operational aspects of projects including supervision of project teams and regular project team meetings.
  • Schedule internal and external project timelines and ensure adherence to these timelines.
  • Track project deliverables using appropriate tools and update GM/MD and Client on a regular basis.
  • Provide direction, support and mentoring to the project team.
  • Work with the HR Manager to manage any HR issues.
  • Effectively apply Company processes and enforce company standards.
  • Prepare, and present, reports defining project progress, challenges and proposed solutions.
  • Ensure appropriate Client approvals for efficient billing.
  • Review and approve all Project related expenditure and invoices to external Clients.
  • Define, monitor and report on quality assurance procedures.
  • Conduct project evaluations and assessment upon completion of each project.
  • Prepare report on Project upon completion
Client Management:
  • Manages day-to-day client relationship.
  • Responsible for successfully implementing the contractual provisions.
  • Communicates effectively with Clients (internal and external) to identify needs and evaluate alternative business solutions.
  • Continually seeks opportunities to increase customer satisfaction and deepen Client relationships.
  • Builds a knowledge base of each Client's business, organization and objectives.
  • Identifies business opportunities with existing Clients as well as new/emerging opportunities for the Company within the Industry.
Key Qualifications:-
  • Degree in Records Management and Archiving
  • Proven knowledge and practice in records management
  • Minimum 2 - 5 years experience
  • Good computer skills (proficiency in MS Word, Excel and Power point. As well as use of Internet for research)
  • Energetic, with good interpersonal skills and excellent verbal & written communication
  • Results oriented with keen attention to detail
  • Work well under pressure and comfortable with a participatory work environment
  • Prefer experience in budgeting and managing projects/departments within budget
  • Creative thinker with a knack for identifying/defining new ideas and/or business opportunities
  • Good leadership, time management & follow up skills
  • Good “can do” attitude and a love of learning
  • Passion for excellence
