Job Title: Front Office Manager

Scope and purpose:

To ensure the efficient and profitable running of all areas under your control in the rooms division, by training staff, planning, controlling and coordinating all relevant facets, thereby ensuring Guest Satisfaction.

To achieve 80% Departmental Profit and 100% Guest Satisfaction.

Key Responsibility’s:

General:
• To adhere to all fire and safety regulations
• To maintain company standards for hygiene and physical appearance
• Represent the hotel in a positive manner on and off duty
• Follow all regulations and procedures as laid down by the company
• To be fully informed on the Hotel and it’s services
• To attend training and meetings as required
• Communicate by following the chain of command (see Report to :)
• To liaise with other departments on related issues
• To complete all given tasks in a timely manner to adhere to operational hours as needed
• To contribute to the total guest satisfaction of the hotel

Human Resources

• To conduct induction and regular training programs within the department
• To ensure regular training, goals and incentive programs are carried out and all staff receive feedback on performance
• Ensure staffs are aware of Industrial Relations Policies and of Disciplinary code throughout entire front office division.
• To collate and update training manuals for all positions in the department
• Control rosters, timesheets and disciplinary information
• Communicate with all staff regarding changes and daily operational needs
• Assist in enforcing safety and security aspects in the department
• Ensure staff hygiene and professional appearance is maintained
• To manage staff in a fair and just manner

Communication

• Ensure effective communication within the department and the hotel
• To communicate with maintenance to ensure all repairs are attended to
• To liaise with all departments regarding guest information, special requests, VIP’s
• Liaise with Housekeeping regarding daily operations i.e. room status, discrepancies
• Ensure guest history is being updated.
• Ensure contact is possible with the housekeeping department throughout the day

Guest Relations and Customer Service

• To ensure all guest requests are dealt with promptly
• To ensure all guest complaints are dealt with effectively
Finance and Accounting
• To control all expenses in the department
• To order and control equipment and supplies
• To ensure issues to other departments authorized and recorded and charged as required
• Curbing wastage in all areas
Administration
• To ensure that all daily, weekly and monthly Front Office and Reservation reports are collated
• Ensuring monthly stock take completed timorously
Operational
• Ensuring efficient and effective Front Office operations
• Ensuring Guest Services of a high standard
• Ensuring all checkins and checkouts are done efficiently and quickly and meet set standards
• Ensuring all details are updated on Front Office system.
• Ensuring room standards and public areas are as per set standard
• Ensuring all Front Office Standard of Procedures is adhered to.
• To constantly maintain Par Stocks in the Department
• To control and maintain all inventory levels
• Ensuring all operating equipment is handled with due care
• Ensuring all control procedures are adhered to
• Enforcing safety aspect within the department i.e. master keys
